Coal Creek Camping and RV Terms and Conditions

TERMS AND CONDITIONS

These Terms and Conditions apply to all reservations and guests of Coal Creek Camping and RV.

The reservation holder is responsible for ensuring that all occupants, visitors, pets, vehicles, and equipment associated with the reservation comply with these Terms and Conditions and all reasonable directions provided by campground management.

Extended stays of one month or longer are additionally subject to the Coal Creek Camping and RV Extended Stay Application, Policies & Site Occupancy Agreement. Where there is a conflict concerning extended-stay occupancy, payment, departure, or site-use requirements, the Extended Stay Agreement will apply.

1. CHECK-IN AND CHECK-OUT

  • Check-in time is 3:00 p.m.

  • Check-out time is 11:00 a.m.

  • Early check-in and late check-out are not guaranteed and are permitted only with prior approval from management.

  • Guests must vacate their site and remove all personal property by the applicable check-out time.

  • Failure to vacate the site by 11:00 a.m. without prior approval may result in additional charges and other action reasonably necessary to prepare the site for the next guest.

2. MINIMUM STAY REQUIREMENTS

Coal Creek Camping and RV may require minimum stays during designated holiday and peak-demand periods.

A minimum three-night stay may be required for designated holiday periods between May and October, including the following periods when applicable:

  • Victoria Day / May Long Weekend

  • Canada Day period

  • BC Day / August Long Weekend

  • Labour Day / September Long Weekend

  • National Day for Truth and Reconciliation period

Minimum-stay requirements applicable to a reservation will be disclosed at the time of booking.

3. RATES AND TAXES

  • Rates are subject to applicable taxes, including 5% GST.

  • Rates may vary according to season, occupancy, length of stay, and availability.

  • The rate applicable to a confirmed reservation is guaranteed once the required payment has been successfully processed, subject to changes requested by the guest or additional charges incurred during the stay.

4. SITE OCCUPANCY

  • All reservable campsites at Coal Creek Camping and RV are full-service RV sites.

  • Site rates include up to two occupants 17 years of age and older and accompanying children 16 years of age and under.

  • Each additional occupant aged 17 years and older is subject to a fee of $6 per person per night.

  • Additional occupants must be declared and applicable fees paid as part of the reservation.

  • Guests may occupy a site using an RV, travel trailer, fifth wheel, camper van, motorhome, tent, or other camping accommodation approved by management.

  • The number and placement of tents permitted on a site are subject to available space, safe access, utility locations, site conditions, and management approval.

  • All RVs, vehicles, tents, equipment, and personal belongings must remain within the designated site or other areas approved by management.

  • Camping equipment must not obstruct roadways, neighbouring sites, utility connections, campground equipment, or safe access through the campground.

5. PAYMENT POLICY

  • Daily and short-term reservations require full payment at the time of booking unless otherwise stated during the reservation process.

  • Extended stays of one month or longer are governed by the Coal Creek Camping and RV Extended Stay Application, Policies & Site Occupancy Agreement.

  • An extended stay is not confirmed until the application has been approved, the registered guest has completed the campground's secure reservation and payment process, and the required Initial Payment has been successfully processed.

  • Cancellation and refund eligibility are governed by the cancellation policy applicable to the reservation.

6. SITE EVACUATIONS AND NATURAL HAZARDS

  • Coal Creek Camping and RV is located on lands that may be subject to flooding, wildfire, severe weather, and other natural hazards.

  • All recreational vehicles, tents, vehicles, equipment, and personal property must remain capable of timely removal where required under the campground's Flood Surveillance and Evacuation Plan or other emergency procedures.

  • Guests must be prepared to evacuate the campground when directed by management or emergency authorities.

  • Specific sites, sections of the campground, or the entire campground may require evacuation because of weather forecasts, rising water levels, flooding, wildfire risk, active fire, utility emergencies, or other safety concerns.

  • Guests must comply promptly with all evacuation notices and reasonable directions provided by campground management or emergency personnel.

  • Failure to comply with an evacuation direction may result in termination of the stay and involvement of emergency authorities where appropriate.

7. WILDLIFE AND WILDLIFE ATTRACTANTS

Guests are responsible for properly securing wildlife attractants.

Whenever a site is unattended and overnight, all wildlife attractants must be stored in a bear-resistant enclosure, secure vehicle, hard-sided RV, or other location approved by management.

Wildlife attractants include, but are not limited to:

  • Food, whether opened or unopened.

  • Garbage and recycling.

  • Empty food and beverage containers.

  • Coolers, whether full or empty.

  • Dishes, stoves, barbecues, and cooking utensils.

  • Pet food and pet dishes.

  • Soap, shampoo, deodorant, toothpaste, and other scented products.

Failure to properly secure wildlife attractants may result in a $100 policy violation charge.

Where a violation creates an immediate wildlife or public-safety risk, management may require immediate corrective action or termination of the stay.

Guests are responsible for fines, penalties, cleanup costs, or other expenses resulting from their failure to comply with applicable wildlife regulations or campground policies.

Coal Creek Camping and RV is not responsible for loss, damage, or injury resulting from wildlife interactions except where liability cannot legally be excluded or limited.

8. QUIET HOURS

  • Quiet hours are from 9:00 p.m. to 8:00 a.m.

  • During quiet hours, noise must be kept at a level that does not disturb neighbouring guests.

  • Music, televisions, conversations, vehicles, pets, and other sources of noise must not unreasonably interfere with other guests.

  • Violations of quiet hours may result in corrective action or termination of the stay in accordance with Sections 22 and 23.

9. VEHICLES AND PARKING

  • Site rates include one primary camping unit and one passenger vehicle, tow vehicle, or towed vehicle associated with the reservation.

  • For reservations where no RV or other vehicle-based camping unit occupies the site, the site rate includes one vehicle.

  • Additional vehicles must be declared and are subject to a fee of $6 per vehicle per night.

  • Vehicles must be parked within the designated site or approved parking areas.

  • Parking or driving on grass, landscaped areas, vacant sites, road shoulders, or other unauthorized areas is prohibited.

  • The campground speed limit is 10 km/h.

  • Drivers must operate vehicles carefully and remain alert for pedestrians, cyclists, pets, children, campground equipment, and other vehicles.

  • Unlicensed motorized off-road vehicles may not be operated on campground property or the surrounding Montane Trail Network.

10. GARBAGE AND RECYCLING

  • Guests must place ordinary household garbage and recycling in the designated bear-resistant containers provided.

  • Garbage, recycling, food waste, and other wildlife attractants must not be left outside overnight or when a site is unattended.

  • Furniture, appliances, construction materials, RV renovation waste, hazardous materials, and other oversized waste may not be disposed of in campground containers.

  • Guests are responsible for removing and properly disposing of waste not accepted by campground facilities.

11. CAMPFIRES AND FIRE SAFETY

  • Wood and propane campfires are permitted unless prohibited by an applicable fire ban, restriction, emergency order, or direction from campground management.

  • Campfires must be attended by a responsible adult at all times, kept to a reasonable size, and contained within an approved fire ring or propane appliance.

  • Fire rings must not be moved from their designated location without management approval.

  • Guests must maintain reasonable control of sparks, flames, and combustible materials around the fire area.

  • Campfires must be fully extinguished before guests leave the site or retire for the night.

  • Guests must comply with all applicable fire bans and restrictions.

  • Cutting, damaging, or removing trees, shrubs, branches, or other vegetation and gathering dead wood from campground property is prohibited.

  • Firewood may be purchased from the on-duty site attendant when available.

12. GENERATORS

  • Generators are not permitted.

  • Repeated or deliberate violations may result in corrective action or termination of the stay.

13. PETS

  • Coal Creek Camping and RV welcomes up to two approved pets per site unless otherwise authorized by management.

  • Pets must be leashed or otherwise safely contained whenever they are outside the guest's RV, tent, vehicle, or other camping accommodation.

  • Pets must not be left unattended outside and must not be left alone for extended periods where their behaviour creates a disturbance or safety concern.

  • Aggressive behaviour and excessive or persistent barking are not permitted.

  • Guests must promptly correct pet-related disturbances when directed by management.

  • Aggressive behaviour, an immediate safety risk, or repeated failure to comply with pet policies may result in termination of the stay.

  • Pets must remain inside the guest's RV, tent, or other approved camping accommodation during quiet hours from 9:00 p.m. to 8:00 a.m.

  • Guests must immediately clean up after their pets.

  • Sites requiring cleanup of pet waste may be subject to a minimum $50 cleanup charge.

  • The reservation holder is responsible for damage caused by pets associated with the reservation.

14. VISITORS

  • Visitors are welcome between 9:00 a.m. and 9:00 p.m.

  • Visitor vehicles must be parked in designated visitor parking areas or other areas approved by management.

  • The reservation holder is responsible for ensuring that visitors comply with these Terms and Conditions.

  • Overnight visitors must be registered with management and are subject to applicable occupancy and vehicle fees.

  • Unauthorized overnight guests may be charged the applicable additional occupancy fee, including a minimum charge of $50 per person per night where disclosed at booking or in campground policies.

  • Repeated or deliberate violations of visitor policies may result in termination of the stay.

15. WATER PRESSURE AND UTILITY CONNECTIONS

  • Guests are responsible for safely connecting and maintaining their RV equipment and utility connections.

  • The campground recommends the use of an appropriate water-pressure regulator when connecting an RV to the campground water system.

  • Guests are responsible for using equipment appropriate for campground water pressure and protecting their RV plumbing systems.

  • Coal Creek Camping and RV is not responsible for damage resulting from a guest's failure to use appropriate pressure-regulating equipment, improperly installed equipment, defective guest equipment, or other circumstances beyond the campground's reasonable control, except where liability cannot legally be excluded or limited.

16. ALCOHOL, SMOKING, VAPING AND CANNABIS

  • Alcohol consumption and smoking, vaping, and cannabis use are permitted only within the boundaries of the guest's assigned site and where permitted by applicable law.

  • These activities are not permitted in campground buildings, common areas, playgrounds, roads, trails, or other public areas of the campground.

  • Guests must not permit smoke, vapour, intoxication, or other conduct associated with these activities to unreasonably interfere with neighbouring guests or campground operations.

17. RESPECT FOR CAMPGROUND PROPERTY AND VEGETATION

  • Guests must respect campground property, landscaping, trees, bushes, and natural vegetation.

  • Cutting, breaking, damaging, removing, or altering vegetation is prohibited.

  • Objects may not be nailed, screwed, tied, hung, or otherwise attached to trees, bushes, campground buildings, utility equipment, or other campground property without prior approval from management.

  • Guests may not alter sites, landscaping, roads, drainage systems, utility connections, or campground facilities.

18. RESPONSIBILITY FOR OCCUPANTS, VISITORS AND CHILDREN

  • The reservation holder is responsible for the conduct and actions of all occupants and visitors associated with the reservation.

  • Children must remain under appropriate adult supervision.

  • Parents and guardians are responsible for knowing the whereabouts of children in their care and ensuring that children respect campground property, facilities, wildlife, other guests, and campground policies.

19. CREEK, TRAILS AND NATURAL AREAS

  • Coal Creek, campground trails, rocks, shorelines, natural areas, and surrounding terrain contain inherent risks.

  • The creek may be fast-moving, cold, deep, or subject to changing water levels and currents.

  • Trails, rocks, shorelines, and natural surfaces may be wet, slippery, uneven, unstable, or affected by weather and seasonal conditions.

  • Guests are responsible for exercising reasonable care, supervising children and pets, using appropriate footwear and equipment, and assessing conditions before entering or using natural areas.

20. DAMAGE, CLEANING AND RESTORATION COSTS

  • The reservation holder is responsible for damage to campground sites, utilities, facilities, landscaping, equipment, and other property caused by the reservation holder, occupants, visitors, pets, vehicles, RVs, tents, equipment, or other property associated with the reservation.

  • The reservation holder is responsible for the reasonable cost of cleaning, repair, replacement, restoration, labour, materials, equipment, waste removal, and other expenses resulting from such damage or misuse.

  • Where immediate action is reasonably required to protect people, campground property, utilities, other guests, or campground operations, management may arrange necessary work without prior approval from the reservation holder.

21. RATES INCLUDE

Campground site rates include:

  • Water service.

  • Sewer service.

  • Electrical service.

  • Occupancy by up to two guests 17 years of age and older and accompanying children 16 years of age and under.

·         One primary camping unit and one passenger vehicle, tow vehicle, or towed vehicle associated with the reservation, subject to the vehicle provisions of these Terms and Conditions.

Applicable taxes, additional occupancy charges, additional vehicle charges, firewood, damage charges, cleanup charges, policy violation charges, and other optional or additional services are not included unless expressly stated.

22. COMPLIANCE AND CORRECTIVE ACTION

  • Guests must comply with these Terms and Conditions and reasonable directions provided by campground management.

  • When management identifies a policy violation, the reservation holder may be notified of the concern, the corrective action required, and the timeframe for compliance.

  • Unless immediate action is reasonably required because of a threat to health or safety, serious misconduct, illegal activity, intentional property damage, significant interference with campground operations, failure to comply with an evacuation direction, or another material breach of these Terms and Conditions, guests will normally be provided a reasonable opportunity to correct the violation.

  • Failure to correct a violation, repeated violations, non-payment of amounts owing, or another material breach of these Terms and Conditions may result in termination of the stay.

  • Nothing in this section prevents management from taking immediate reasonable action where necessary to protect people, wildlife, campground property, utilities, other guests, or campground operations.

23. TERMINATION OF STAY

  • A stay may be terminated before the scheduled departure date where the reservation holder, an occupant, or a visitor fails to correct a violation within the timeframe required by management, repeatedly violates campground policies, fails to pay amounts owing, materially interferes with other guests or campground operations, or commits another material breach of these Terms and Conditions.

  • Management may require immediate departure where the reservation holder, an occupant, or a visitor engages in serious misconduct, illegal activity, intentional property damage, threatening or abusive behaviour, conduct creating an immediate threat to health or safety, failure to comply with an evacuation direction, or conduct that materially prevents the safe operation of the campground.

  • Where a stay is terminated because of a violation of these Terms and Conditions, refund eligibility, if any, will be determined in accordance with the cancellation and refund policies applicable to the reservation and applicable law.

  • Outstanding fees, damage charges, cleanup costs, policy violation charges, and other amounts properly owing remain payable after departure.

  • Coal Creek Camping and RV may refuse future reservations from guests whose previous conduct resulted in termination of a stay or who committed serious or repeated violations of campground policies.

24. LIABILITY AND ASSUMPTION OF RISK

  • Guests are responsible for exercising reasonable care while using campground sites, roads, facilities, utilities, Coal Creek, trails, natural areas, and surrounding property.

  • Camping and outdoor recreation involve inherent risks, including changing weather, flooding, wildfire, wildlife encounters, falling trees or branches, uneven terrain, moving water, slippery surfaces, insects, and the actions of other persons.

  • Guests voluntarily accept the ordinary risks associated with camping, outdoor recreation, and use of natural areas.

  • Coal Creek Camping and RV is not responsible for loss, damage, injury, expense, or interruption of a stay arising from inherent risks of outdoor recreation, natural hazards, wildlife, weather, the acts of other guests, failure of guest-owned equipment, or circumstances beyond the campground's reasonable control, except where liability cannot legally be excluded or limited.

  • Guests are responsible for securing their RVs, vehicles, tents, equipment, and personal property.

25. ACKNOWLEDGEMENT OF TERMS

  • By making a reservation, claiming a reservation created on the guest's behalf, completing the campground's payment process, checking in, or occupying a site, the reservation holder acknowledges that they have had an opportunity to review these Terms and Conditions and agrees to comply with them.

  • The reservation holder is responsible for ensuring that all occupants and visitors associated with the reservation are aware of and comply with applicable campground policies.

  • Coal Creek Camping and RV may update these Terms and Conditions from time to time. The version applicable to a reservation will be the version provided or made available to the reservation holder as part of the booking process, except where changes are required by law, emergency conditions, government orders, or immediate health and safety requirements.

 CANCELLATION AND REFUND POLICY

This Cancellation and Refund Policy applies to reservations at Coal Creek Camping and RV.

Extended stays of one month or longer are additionally subject to the Coal Creek Camping and RV Extended Stay Application, Policies & Site Occupancy Agreement. Where there is a conflict concerning cancellation, early departure, payment, or refunds for an extended stay, the Extended Stay Agreement will apply.

DAILY RATE RESERVATIONS

Cancellations Before Arrival

  • Cancellations made 8 days or more before the scheduled arrival date will receive a refund of amounts paid, less a $25 cancellation fee.

  • Cancellations made 7 days or less before the scheduled arrival date are non-refundable.

  • Written cancellation notice is effective when received by Coal Creek Camping and RV.

Reservation Date Changes

  • Requests to change reservation dates must be received 8 days or more before the scheduled arrival date.

  • Approved reservation changes are subject to availability and a $10 change fee.

  • Any difference in rates resulting from the requested change will be charged or refunded, as applicable.

  • A change to reservation dates does not guarantee availability of the same site.

  • Requests to change reservation dates received 7 days or less before the scheduled arrival date will be treated as a cancellation and are non-refundable.

After Occupancy Begins

  • Once occupancy of the site has begun, no refunds will be provided for unused nights, late arrivals, early departures, changes in travel plans, or other reductions to the reserved stay.

Discounted and Non-Refundable Reservations

  • Reservations booked under a rate, promotion, discount, or offer identified as non-refundable or final sale are non-refundable and cannot be changed unless otherwise stated in the terms of the applicable offer.

Weather and Natural Conditions

  • Refunds will not be provided because of weather, smoke, air quality, wildfire conditions that do not require evacuation, road conditions, changes in outdoor recreation conditions, or other natural conditions affecting the guest's travel plans or enjoyment of the stay.

  • Where Coal Creek Camping and RV is required to close or evacuate the campground because of a government order or direction from emergency authorities, refunds or credits for unused nights will be determined in accordance with the circumstances, applicable law, and any emergency policies established by Coal Creek Camping and RV.

EXTENDED STAY RESERVATIONS

  • Extended stays of one month or longer are governed by the Coal Creek Camping and RV Extended Stay Application, Policies & Site Occupancy Agreement.

Cancellation Before Arrival

The following cancellation policy applies when an approved extended stay is cancelled before the scheduled arrival date:

  • 30 days or more before arrival: The Initial Payment will be refunded, less a $25 administration fee.

  • 14 to 29 days before arrival: 50% of the Initial Payment will be refunded.

  • Less than 14 days before arrival: The Initial Payment is non-refundable.

Written cancellation notice is effective when received by Coal Creek Camping and RV.

Refunds may be reduced by other amounts properly owing under the Extended Stay Agreement.

Early Departure

  • Guests wishing to depart before the approved departure date must provide at least 30 days' written notice.

  • The notice period begins when written notice is received by Coal Creek Camping and RV.

  • The registered guest remains responsible for site fees and other applicable charges during the required notice period, even if the RV or occupants leave the campground earlier.

  • Where the required 30 days' written notice is provided, prepaid site fees applicable to periods after the effective departure date will be refunded, less any outstanding amounts properly owing under the Extended Stay Agreement.

  • Electricity charges, damage charges, cleanup costs, and other amounts that cannot reasonably be calculated before departure may be processed after the guest has left the campground.

HOW TO CANCEL OR REQUEST A RESERVATION CHANGE

  • Cancellation and reservation-change requests must be submitted through the Coal Creek Camping and RV online booking system or by email.
